Information for oral presenters and chairs

Basic information

  • WAC-9 Congress will be organized in a hybrid format using Zoom platform (www.zoom.us). Both presenters and audience will be able to participate either physically - in-person or remotely – virtually.
  • You will be able to join all hybrid and virtual sessions through the congress website after logging in to the User zone. Virtual sessions, submission forms (for submitting PowerPoint presentations, pre-recorded talks and e-posters), and registration for the congress are accessible through the User zone using the same username and password. Once you have created a user account in the User zone, your login credentials remain the same. You will not receive any join links by email.
  • The oral sessions will be live. All presenters will give live talks during the congress.
    • Remote presenters will run PowerPoint presentation on their own computer and will share their screen via Zoom.
    • The congress organizers will run the face-to-face presenters‘ presentations on computers in the rooms at the congress venue.

Length of oral presentations

  • Each paper should have maximally 15 minutes (10 minutes of the presentation + 5 minutes of a discussion).

Modes of oral presentations

  • Online (remote) presenters will run PowerPoint presentation on their own computer and will share their screen via Zoom.
  • Face-to-face presenters: The congress organizers will run their presentations on computers in the rooms at the congress venue. Presenters will be able to control the presentation using a remote control (clicker).

PowerPoint presentations

  • Both online (remote) and face-to-face presenters are required to submit their PowerPoint presentation before the congress. Please keep in mind that PowerPoint presentations submitted by remote presenters and PowerPoint presentations submitted by face-to-face presenters will be used in different ways:
    • Online presenters: The submitted presentation will serve as a backup and will only be used if presenters are not able to share their presentation via Zoom due to unexpected technical issues. Presenters are expected to run their PowerPoint presentation on their own computer and to share their screen via Zoom.
    • Face-to-face presenters: The congress organizers will upload their presentations to computers in the rooms in the congress venue.
  • Submission of PowerPoint presentations
    • Please upload your PowerPoint presentation via the online form that is accessible after Login in the User Zone.
    • Login using your login details
      • Click on the item Contribution list in the menu on the left-hand side
      • Click on the title of your abstract
      • Then you will be able to upload your file.
    • Please submit your PowerPoint presentation at least 2 days before date of your presentation.
  • How to prepare a PowerPoint presentation
    • We recommend to use 16:9 slides. You can download the WAC-9 PowerPoint template.
    • The maximum size of the file is 50 MB

Pre-recorded talks

  • Presenters can upload pre-recorded talks in MP4 format. This is fully optional.
    • You can pre-record your talk if you cannot take part in the live session personally due to time zone differences. Your pre-recorded talk will be played during the live session.
    • Live sessions will be recorded and recordings will be placed on the congress website. All registered participants will be able to watch the recorded sessions. The participants will be able to discuss with the authors in writing using a discussion box under each recording.
  • How to pre-record your talk
    • The maximum size of the file is 700 MB
    • The maximum length of the recording is 10 minutes unless agreed otherwise with the symposium organiser.
    • The file has to be in MP4 format
    • You can use any recording software of your choice. We recommend to pre-record your presentation using the free version of Zoom. Information on how to pre-record your presentation using Zoom can be found here.
  • Submission of a pre-recorded talk
    • Please upload your pre-recorded talk in MP4 format via the online form that is accessible after Login in the User Zone.
      • Login using your login details
      • Click on the item Contribution list in the menu on the left-hand side
      • Click on the title of your abstract
      • Then you will be able to upload your file.
    • If you wish to upload your pre-recorded talk, please upload it via your User zone at least 2 days before date of your presentation.

Zoom platform

  • We strongly recommend to download the Zoom desktop client and to install it on your computer. It is also possible to join the Zoom webinar from your Internet browser using the web client. The Zoom web client allows joining a Zoom meeting or webinar without downloading any plugins or software. However, the web client has limited features and should only be used if you can't access the other options.
  • We strongly recommend to download and install the Zoom desktop client and to familiarize yourself with Zoom in advance before the start of the congress.
